Privacy Policy
Last updated 14 October 2026
This policy explains what personal information we collect through this website and by email or phone, why we collect it, and what your rights are. We keep it short and plain on purpose.
Who we are
This website is run by NATOW Group Ltd, a company registered in the United Kingdom (Company number 16748110). Our address is 13 Canterbury Road, Hawkinge, CT18 7BW, United Kingdom. We trade through two divisions: NATOW Systems (bespoke software) and NATOW Ex (ex-military equipment, vehicles, parts and transport). For the purposes of UK data protection law, NATOW Group Ltd is the controller of the personal information described here.
For anything about your personal information, contact us at info@natow.co.uk or on 07855 224748.
What we collect
- Enquiry form. If you use the contact form on NATOW Systems or NATOW Ex, we collect your name, email address, the message you write, and, if you choose to give them, your company name and phone number. For NATOW Ex we also record which type of enquiry you selected.
- Spam checks. The form includes a hidden field and a timing check to stop automated spam. We do not use these to identify you. We note whether a submission was flagged as probable spam.
- Email and phone. If you email or call us, we keep the messages and any details you give us so we can respond and keep a record of the conversation.
- Server logs. Our web server keeps standard technical logs (such as IP address, browser type, pages requested and time of request). We use these for security and to fix faults.
We do not ask for, and you should not send us, sensitive information such as health details or payment card numbers through the form.
How and why we use it
- To reply to your enquiry and discuss your project or purchase. Our lawful basis is taking steps at your request before entering into a contract, and our legitimate interest in running our business and answering the people who contact us.
- To provide goods or services you have asked for, where we go on to work together. Our lawful basis is performing that contract.
- To keep the website secure and free of spam. Our lawful basis is our legitimate interest in protecting our systems.
- To meet legal and accounting obligations, where they apply.
We do not sell your information, and we do not use enquiry details for marketing mailings unless you have asked us to.
Who we share it with
- Google Workspace. Enquiries submitted through the form are emailed to us and saved in a Google Sheet in our Google Workspace account. Google acts as our service provider and processes this information on our behalf. Our email, and any messages you send us directly, also pass through Google.
- Professional advisers, insurers and authorities, only where we need to, for example for legal advice, or where the law requires us to.
The website itself is hosted on our own server. It does not use third-party analytics, advertising or tracking services.
Transfers outside the UK
Google may process information in countries outside the UK. Where it does, it relies on safeguards recognised by UK data protection law, such as approved international transfer terms.
How long we keep it
We keep enquiries for as long as we need them to deal with your request, and normally review and delete them within two years of our last contact. If we go on to do business together, we keep the records we need for the contract and for legal and accounting purposes, for as long as those obligations require. Messages flagged as spam are deleted regularly. Server logs are kept for a limited period and then removed.
Cookies
This website does not use cookies, analytics or advertising trackers, so there is no cookie banner. Fonts are served from our own website, not from a third party. If this changes, we will update this policy first.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct anything that is wrong or incomplete;
- ask us to delete your information in certain circumstances;
- ask us to restrict how we use it, or object to our using it based on our legitimate interests;
- ask for your information in a portable form, where this applies.
To use any of these rights, email info@natow.co.uk. We will normally reply within one month. There is no charge, unless a request is clearly unfounded or excessive.
Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
Security and children
We take sensible technical and organisational steps to protect the information we hold, including restricting access to the accounts where enquiries are stored. No internet transmission is completely secure, so please take care with what you send. Our website and services are not aimed at children, and we do not knowingly collect their information.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed.
